SPONSORSHIP COORDINATOR 

Responsibilities

  • Identify potential source of funds
  • Seek and secure financial and in-kind support from businesses and corporations
  • Develop and maintain relationships with donors and sponsors
  • Write sponsorship proposals and correspondence
  • Ensure the acquired funds are being used for the designated purpose
  • Ensure that sponsors receive full benefits of sponsorship
  • Prioritize projects to keep multiple projects moving in a timely manner

Qualifications

  • Excellent written and oral communication, ability to develop and deliver presentations
  • Excellent organizational and budgeting skills
  • Ability to collaborate as well as to work independently

VOLUNTEER COORDINATOR

Responsibilities

  • Assess PNWF’s needs and meeting those needs through the recruitment, placement and retention of volunteers
  • Raise staff awareness of the role and function of volunteers
  • Recruit volunteers and ensure they are appropriately matched for a position
  • Monitor, support, and motivate volunteers
  • Maintain updated records on all volunteers
  • Respond to all volunteer inquiries
  • Set up and attends volunteer meetings as needed
  • Recommend most efficient use of volunteers for each event
  • Provide on-going support and appreciation for all volunteers

COMMUNICATIONS COORDINATOR

Responsibilities

  • Act as writer and editor for marketing communications materials for internal and external use including community meeting agendas, sponsorship letters, contracts, newsletters, etc
  • Edit and publish monthly newsletter
  • Maintain online events calendar
  • Schedule meetings and reserve spaces for meetings
  • Prepare mailing lists and coordinate mailing efforts for fundraising and events
  • Compose, type, and distribute meeting notes

Qualifications

  • Excellent copy editing and proofreading skills
  • Communications experience in copywriting preferred
  • Strong interpersonal and problem-solving skills to create effective solutions to communication problems

COMMUNITY OUTREACH COORDINATOR

Responsibilities

  • Responsible for cultivating strategic partnerships through community outreach activities
  • Develop sponsorship/business arrangements and relationships with businesses, individuals, schools, and other organizations interested in supporting PNWF
  • Maintain relationships with collaborative partners
  • Work with other like-minded community groups to identify and prioritize community issues
  • Work with the Event Coordinator to organize community outreach activities to educate the broader community about PNWF
  • Serve as an ambassador of the mission of PNWF in the interaction with current and potential partners and the media

ACCOUNTING COORDINATOR

Responsibilities

  • Responsible for the accounting communications between the organization and its clients, suppliers, donors, etc
  • Responsible for bookkeeping and keeping track of all receivables and payables
  • Ensuring the validity of a receivable or payable, which may include confirming with other members of the organization that an incoming invoice is for legitimate products or services rendered before it is deemed payable
  • Control the accuracy of data appearing on accounting documents
  • Prepares and reconciles sales reports
  • Anticipate cash needs, maintains cash flows, and prepares bank deposits
  • Prepare monthly, quarterly and annual sales and use tax returns
  • Maintain and prepare license renewals

PUBLIC RELATIONS COORDINATOR

Responsibilities

  • Create and maintain PNWF’s public image and protect its reputation
  • Serve as an ambassador of the mission of PNWF in the interaction with the media
  • Speak publicly to promote PNWF’s mission
  • Work with the media, write press releases, and monitor media coverage
  • Write, maintain, and update press kit materials
  • Cultivate and maintain relationships with key media sources
  • Work with Social Media Coordinator to increase awareness and drive traffic to website and events

Qualifications

  • Superior written and verbal communications skills, including public speaking skills
  • Must be self-directed and reliable in planning and implementation of marketing and public relations tasks
  • Understanding of social media platforms

EVENT COORDINATOR

Responsibilities

  • Conduct research, make site visits, and find resources to help staff make decisions about event possibilities
  • Book guests, speakers, and talent that align with our mission
  • Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and equipment, order event signs, and ensure appropriate décor
  • Serve as liaison with vendors on event-related matters
  • Calculate budgets and ensure they are adhered to
  • Coordinate and monitor event timelines and ensure deadlines are met
  • Initiate, coordinate, and/or participate in all efforts to publicize event
  • Send out invitations and manage RSVP lists
  • Coordinate event logistics, including attendee tracking, presentation and materials support and pre- and post-event evaluations
  • Work with suppliers, contractors, employees, wait staff
  • Prepare and modify event contracts as requested
  • Ensure events run smoothly

EVENT PHOTOGRAPHER

Responsibilities

  • Take event photos for various PR purposes
  • Travel to different locations depending on assignments
  • Edit and retouch images (as needed)
  • Communicate with photographic subjects and put them at ease
  • Organize, edit, and upload images in a timely fashion
